Small businesses must modernise the way they communicate

With the Royal Mail strike set to cause further disruption across the UK today, Constructaquote.com believes that it is an ideal time for small businesses to re-evaluate the way that they communicate with their customers and clients.

The ongoing dispute between the Communication Workers Union (CWU) and Royal Mail chiefs has highlighted, clearer than ever before, that firms should not depend solely on postal services to conduct their business.

There is a definite need for companies to diversify if they are to remain unaffected by incidents like these in the future. For example, the benefits of e-mail are particularly well-documented, and more businesses should be looking to make this their primary form of communication.

Sian Pryce, Managing Director at Constructaquote.com, said:

"At Constructaquote.com, e-mail is always at the centre of our business dealings. It is cost-effective, eco-friendly, and undoubtedly the quickest way of getting key information across to our customers. Where possible, everything is sent out by e-mail, from policy documents and renewal notices to general industry updates."

"Far too many firms are still reliant on older methods of communication, and these are becoming unstuck as the Royal Mail situation worsens. It is an excellent prompt for businesses to take a fresh look at how they are communicating with their customers, and weigh up some of the other options available to them."

Online collaboration platforms pose another opportunity for businesses to become less dependent on mail-based communications. A number of collaborative tools, such as the recently released Google Wave, can be used to share important files, assign tasks and centralise project updates. The added flexibility that these types of services bring could prove a valuable resource to thousands of firms in the UK.

In addition to collaboration platforms, SMS text messages are another way of businesses getting information to their customers quickly. As well as delivering marketing messages, text messages are increasingly being used to distribute payment notices, conduct feedback studies and provide a range of updates.
